4 DSARs in Days, Not Weeks

Across multiple Subject Access Request engagements, PIIQ delivered consistent, measurable efficiency gains. A total of 18,877 files across 3.4 GB of data were processed through structured discovery, automated PII detection, and streamlined redaction workflows — reducing processing time from weeks to hours.

"DSARs that previously took several days to complete are now processed in under two days, including full human-in-the-loop review and audit. The accuracy delivered through the AI is exceptional. PIIQ has materially improved both our turnaround times and operational confidence."

The PIIQ Workflow: Four Phases of Efficiency

Each DSAR followed the same repeatable, structured workflow. At every phase, PIIQ compressed what would traditionally take hours or days into minutes.

1

Rapid Discovery & Scoping

Exclusion keywords and repeatable discovery queries rapidly reduced large file volumes to a relevant working set. Bulk include/exclude tools dramatically cut the time to identify relevant data.

Minutes, not hours
2

Automated PII Detection

Hunters rapidly identified Personally Identifiable Information within scoped documents, locating third-party personal data for redaction preparation automatically and consistently.

Most datasets: minutes • Large archives: 1–2 hrs
3

Quality Analysis

Fast, repeatable scanning detected PII outliers requiring further review. Multiple re-scan iterations quickly improved confidence in the dataset before redaction.

Full PII review in ~1 hour
4

Redaction & Report Generation

Automated redaction and the combined DSAR disclosure report were generated in minutes, completing an efficient end-to-end workflow.

Discovery: Cutting the Noise

PIIQ Discovery uses exclusion keywords and scope rules to eliminate files that are clearly irrelevant — before any AI processing begins. Across all four engagements, Discovery reduced file counts by up to 91%, leaving only the files that genuinely needed review.

15,369 files → 1,349
3,222 files → 491
241 files → 115
45 files → 32

Exclusion Rates by Dataset

The percentage of files automatically excluded varied by dataset type. Email archives saw the highest exclusion rates, while HR datasets — which are inherently more relevant to DSARs — still benefited from meaningful automated scoping.

How Discovery Works: Document Scope in Action

PIIQ Discovery uses two powerful tools working together: Document Scope keywords and the Discovery Run dialog.

Before any AI processing begins, the reviewer configures the scope. PIIQ provides 15 pre-built keyword categories that can be toggled in or out of scope with a single click:

Out of Scope (excluded)
  • Spam & Junk — phishing, urgent action required, limited time offer
  • Social Media — Facebook, Twitter, Instagram, LinkedIn notifications
  • Marketing Materials — newsletters, SEO, product launches, campaigns
  • Personal Financial — bank statements, credit cards, tax returns
  • Legally Privileged — attorney-client privilege, legal advice, work product
  • Job Hunting — job applications, recruiter emails, cover letters
In Scope (reviewed)
  • HR & Employee Records — performance reviews, payroll, benefits
  • Business Communications — internal memos, meeting minutes
  • Contracts & Agreements — NDAs, SLAs, terms and conditions
  • Customer Communications — support tickets, customer emails
  • Regulatory & Compliance — GDPR, audit, privacy policy
  • Business Financial — invoices, purchase orders, P&L

The reviewer can also add custom keywords, drag-and-drop a CSV of terms, and toggle filename checking — which excludes files based on their name alone, without even scanning content. For a large email archive, this is what turns 15,369 files into 1,349: thousands of marketing newsletters, social media notifications, and spam are eliminated in seconds.

Data Volume Reduction

The impact on data volume is even more dramatic than file counts. The Large Email Archive was reduced from 3.23 GB to just 5.9 MB of in-scope data — a 99.8% reduction.

3.23 GB → 5.9 MB
145 MB → 647 KB
52 MB → 30.7 MB
10.4 MB → 6.36 MB

Time Saved per Engagement

The combination of rapid discovery, automated PII detection, and streamlined redaction delivered consistent time savings across every engagement — from days on small datasets to weeks on large archives.
